Reasons for Visiting Our Site

People generally come to our site as part of a developmental activity for themselves, someone known to them, a workplace team they are part of, or in a position to observe, or as an information gathering activity for organisational planning and development.

In the process of participating, opinions and comments are collected to feed back to people, usually in summarised form.

Types of Access

You may have come to this web site as an anonymous user who is searching for information. If you are in this category you will be referred to as an "Anonymous User".

If you have been sent to this site to use one of our products either by direction of the organisation you work for, or by invitation to participate in a learning, development, or assessment activity, you will be referred to as a "Known User". "Known Users" generally have come to the web site and access various products using an Organisation Code, User ID and personal PIN, or password. These codes are provided either by your organisation, or generated by our software and communicated to you by email directly. The use of these codes provides several layers of security that restrict access to your data.

"Known Users" could also be Anonymous Users who become "known" by electing to give us their names and address details in the process of asking for more information.

Information Collected

Anonymous Users

HRWorkbench collects information about "Anonymous Users" to assist us in analysing the usage of our site.

HRWorkbench collects two types of information. The first type is anonymous information. For instance, we may collect information to tell us that five thousand people visit this Privacy Policy today, but we do not know their names, where they live or their date of birth - they are 'anonymous' to us. We may record the web site you came from, and the type of browser you are using to assist with our analysis. Many of the individuals who access our web site are anonymous to us. In these cases we hold information that allows us to communicate with your computer for the duration of your "session" at our site, and discard the information the moment you leave the site.

The only thing we do record is that you (by number not name) visited, the pages you visited, the type of browser you used, and the date and time you visited. This information is valuable to us in improving the content and layout of our web site and is used for this purpose only.

We do not record names or any other specific identifying information unless you, or an authorised representative of your organisation, request us to do so.

The second type of information we collect from "anonymous users", involves personal details you input when seeking further assistance from us via "support" or "contact us" type requests or when directly seeking access to one of the products online.

In these cases we record the information in our contacts database. The database is used for communicating with you only and is not communicated to any other organisation.

Known Users

When a known user comes to our site, or an anonymous user gives us their name address and other information, the information that identifies the person is available to the operators of the web site. The operators are the employees of HRWorkbench Pty Ltd who have particular security clearance and, in many cases, the Human Resource staff, or Management, of the Organisation that added your name to our product user-list.

Where your name has been given to us by your organisation, it is usually in conjunction with information gathering for development purposes within the organisation., or for making a learning program available to you online. If you have concerns about how the organisation that gave us your details may use the information you have provided, or may use information that has been provided by others about you, then you should raise your concerns directly with the organisation. The email that asked you to come to this site should include details of the contact person for the particular project.

If you have concerns about how your organisation will use the information, you can raise your concerns with us. We will respect your privacy and consult with your organisation on your behalf to arrange for your name to be removed from the data collected.

It is our policy not to "trade" in personal information. Your name, address, or any other identifying information will not be included on mailing lists, sold to third parties, or provided to anyone in your organisation who has not been nominated by the Management of your organisation for this purpose.

Any mailing lists we use for our newsletters are compiled from personal requests to be placed on the mailing list.

Access to Information Collected

You will always, ultimately, have access to the information collected about you. Due to the sensitive nature of the information we hold, some organisations only allow individuals to see their personal results online after they have been through a formal feedback process. This is especially true for 360 degree profiling processes, and some psychometric tools.

The people who have access to your data from within HRWorkbench (IT staff managing our database and our direct online support staff) are all employed under contracts that set down strict confidentiality regulations governing their behaviour.

The organisation that added your name to a process will have responsibility for the protection of the data at their premises.

If you have concerns about who has access to your data, or data you have contributed to, you should direct your enquiry to the contact person for the sponsoring organisation.

Use of Information Collected

It is our policy to be directed by the organisation that gave us your details regarding the release of data. We require organisations using our services to apply "best practice" in the management of personal data.

In the case of information provided for Organisational surveys, your information is usually grouped with the rest of the organisational data and it is usually difficult for anyone to determine what any one individual has said. If you have concerns about anonimity, you should raise this with the organisation that gave us your details.

In the case of individual psychometric tools, the data will be visible to you, and the organisation that added your details to our product user-list.

In the case of team based psychometric tools, you will usually see your results, and an aggregate of the team results. In this case it is the usual practice to encourage discussion about the results as a part of a team development intervention.

In the case of 360 degree profiling, you will see your assessment of yourself, you will usually be assessed by your manager, whose responses will be visible to you, peers and/or direct reports (whose data will be aggregated).

If you are someones manager you should be aware that your responses to questions will be visible to the person you are rating. Anonymity is difficult to maintain when there is only one person responding for a particular view.

Our recommended "best practice" to organisations is to clearly outline what data could be "deduced" so that raters, in particular, have a clear understanding of the level of anonymity they can enjoy.

It is the policy of HRWorkbench to only use data in accordance with the instructions of its customers.
